      Booking Terms & Conditions

      1. Guthrie requires a confirmation on your behalf to know that the event is going ahead. If he does not receive a confirmation, the date may not be held or may be booked elsewhere without you being notified. Contact does not mean there has been a booking arranged. All confirmed bookings will receive a Booking Confirmation document or acknowledgement email.
      1. By confirming this booking you are agreeing that a) all event information you have supplied is correct and b) you are happy to abide by the terms and conditions outlined in this document.
      1. Payment: For public events (pubs, cafes etc) Guthrie will provide a printed invoice on the date of event or alternatively email an invoice within 3-5 business days. The business terms (period expected to receive pay in) is 14 days from event for all invoices unless otherwise agreed upon. After 14 days if Guthrie has not received payment the venue will receive a final payment request. After 21 days, the venue will incur a 15% administration fee per week that the invoice remains outstanding. After 60 days, we may hire debt collection services to resolve the overdue payment. Any expense incurred by debt collection is the financial responsibility of the venue/event host and will be charged accordingly along with the original sum and any additional interest incurred. For private events Guthrie requires a 50% deposit 3 months prior to the event and the remaining 50% paid within the week of the event, before the event date. 
      1. Event Cancellations: Public Events: If an event is cancelled by the host 8 weeks or more prior to the event, the host will not incur any fees. Cancellations within 4-2 weeks will incur a 50% charge of total booking fee to host. Cancellations within a fortnight from the event will incur a full charge of booking fee to the host. Private Events: If an event is cancelled by the host within 12 weeks of the event the booking deposit will be lost (50% of agreed performance fee) if the event is cancelled within a fortnight of the event we request the full performance fee be paid in its entirety.
      1. Event Cancellation Exceptions: We understand there are a few reasonable circumstances that an event may require cancellation. In the situation of fire, flood, or any “act of nature” that could leave structural damage or health risk, deeming the venue unsafe  – there will be no cancellation fee charged to the host. If you need to cancel your event and believe it is a reasonable circumstance given your situation please contact us immediately on the provided phone number in the Booking Confirmation document you received.
      1. Double Booking: If a venue/event host has double booked a performance slot, the host can either a) allow Guthrie Trio to perform for the original negotiated agreement or b) pay 100% of the sum originally agreed upon and have Guthrie Trio not play. We treat all double bookings the same way we treat cancellations, you will need to pay the entirety agreed upon if you decide to not have us perform as it is the hosts choice/mistake, and this is our income. If a venue does not pay the agreed sum, we may hire debt collection services to resolve the matter. Any expense incurred will be the financial responsibility of the venue/host in addition to the originally agreed upon sum.
      1. Equipment Failure: Whilst Guthrie Trio provide regular routine maintenance to all equipment, in the event of any significant equipment failure rendering us unable to perform, we will not be held liable for the events entertainment or losses for the night. If we can find a work around to still perform we will discuss this with you and can play it by ear. If we have already performed half of the duration of the show the venue/host will be required to pay 50% of the originally agreed upon budget. If Guthrie Trio has performed less than 45 minutes duration, the venue/host will not be charged anything. 
      1. It is the venue/event hosts responsibility to ensure the performance environment is a safe and secure environment to perform in. If alcohol is served we expect a security guard to be around, and anyone acting in an unsafe manner to be removed from the premises. We expect venues to perform regular maintenance and checks on their premises to ensure electrical safety – ensuring that all power points are grounded and safe that they wish for us to use. If we deem the venue/event unsafe to perform at, the venue/host will still be required to pay the agreed upon fee in its entirety if the band chooses to not perform due to venue/host negligence for safety concerns. 
      1. Artist Cancellations: Once an event is confirmed, it is locked in on our end. Rarely do cancellations ever happen. The exceptions to this is if a band member is physically unable to perform due to illness or there is tragic death or severe health concerns within the family. If this occurs, we will give as much notice as possible along with a notification of the event being cancelled. We will also do our best to find a suitable substitute – though this is not guaranteed. We reserve the right to cancel any event if deemed necessary to for safety or physical &/or mental health concerns.
